Program Coordinator
The Program Coordinator is responsible for working with the Executive Director for the planning, management, and implementation of the educational programs for adults and children, as well as other outreach activities. This includes the Healthy Hearts program for children, adult education programs (Bienvenido, Por Tu Familia), health fairs, COVID-19 and flu vaccination clinics, health screenings, trainings, etc.
KEY OVERALL RESPONSIBILITIES:
Program Management
- Work with the Executive Director in planning/scheduling educational programs and outreach activities, as well as in managing resources and logistics for each of them.
- Prepare and manage paperwork that participants need to complete for each of the events and outreach activities, including tracking and organization.
- Oversee and coordinate data collection and data input, including downloading data from the cloud that has been submitted electronically and transferring it to the correct files.
- Work in partnership with the Grant Coordinator and Executive Director to collect and prepare data for grant proposals, grant reports, and executive summaries.
- Collect, record, and maintain financial transactions related to programming.
- Assist with other bookkeeping tasks, such as verifying receipts, preparing deposits, making purchases, preparing invoices, and monitoring accounts.
- Attend NIHHC outreach activities, educational programs, or other community events.
- Monitor community needs and stay current on programming opportunities at the county and state levels. Stay current on research and trends related to the programs offered.
Project and Workflow Management
- Coordinate the efforts of staff and board members in the recruitment, training, development, evaluation, and retention of key personnel for programs and outreach activities.
- Provide support, training, and management of interns, facilitators, assistants, community health workers, and other key program personnel.
- Review and support the workflow of each program, and ensure that programs are continually evaluated for efficiency and effectiveness in meeting the needs of the community
Outreach Activities, Planning and Management
- Coordinate and attend meetings with school representatives to define the schedule of the Healthy Hearts and Bienvenido programs for the different school districts.
- Support community relations and the development of programs by participating in community meetings, building partnerships, and creating community awareness of issues related to the programs.
- Work with public relations and marketing personnel to effectively promote and communicate a strong brand identity for the programs and organization.
- Support and provide direction for the planning, execution, reporting, and evaluation of all educational programs, health fairs, and outreach activities.
- Work with appropriate staff and volunteers to ensure that all aspects of a successful outreach/educational program are coordinated and executed toward a common goal.
QUALIFICATIONS:
- 4-year degree preferred.
- At least 2 years of experience in project management/program coordination and bookkeeping.
- Professional and enthusiastic attitude.
- Proficiency in Microsoft Office products (e.g. Excel) and QuickBooks.
- Familiarity with the use of online (cloud) systems.
- Excellent communication and presentation skills, including verbal and written communication.
- Excellent collaboration skills, with the ability to work as part of a team and with community partners.
- Ability to manage multiple tasks simultaneously and meet project goals and deadlines with minimal supervision.
- Excellent follow-up, problem-solving, and organizational skills.
- Ability to work well with people from all backgrounds with varying degrees of experience.
- Ability to delegate, provide clear instructions, and follow up with team members.
- Availability to work seldom evenings and some Saturdays.
- Some teaching experience preferred.
- Bilingual in Spanish/English preferred.
