Operations Director
Reporting directly to the Executive Director, the Operations Director is responsible for leading the implementation and oversight of NIHHC grant-funded programs. This position is responsible for grant management, which includes, but is not limited to, community outreach and education, partnerships, and media components. This position is also responsible for financial accountability, data management, reporting, and liaison functions as required by funders, partners, and stakeholders at both local and statewide levels.
The grant-funded programs include Healthy Hearts (childhood obesity prevention), Bienvenido (mental health promotion for new immigrants–youth and adults), Por Tu Familia (heart disease prevention), health fairs (health screenings and vaccinations), and other community outreach events.
KEY OVERALL RESPONSIBILITIES:
Program & Outreach Activities Management
- Consolidate documentation for program evaluation and assist the Grant Coordinator in monitoring and evaluating program progress.
- Ensure that all grant activities are completed and meet all program reporting requirements and goals in a timely manner, as outlined in the grant proposals and contracts.
- Work with the Executive Director and program coordinators in planning/scheduling educational programs and outreach activities, as well as in managing resources and logistics for each of them.
- Support and provide direction for the planning, execution, reporting, and evaluation of all educational programs, health fairs, and outreach activities.
- Coordinate the proper collection of data required by grants for each of the programs and compile the information for timely submission.
- Oversee and coordinate collection of participant data and data input into dashboards.
- Prepare quantitative and qualitative reports for grant proposals, grant reports, and executive summaries.
- Responsible for internal bookkeeping tasks including accounts receivable, accounts payable, and internal grant reports. Prepare weekly, monthly, or quarterly reports.
- Oversee and coordinate NIHHC outreach activities and educational programs.
- Participate and represent NIHHC in community meetings, building partnerships and creating community awareness of issues related to the programs.
- Monitor community needs and stay current on programming opportunities at the county and state levels. Stay current on research and trends related to the programs offered.
- Review and support the workflow of each program and ensure that programs are continually evaluated for efficiency and effectiveness in meeting the needs of the community.
Project and Workflow Management
- Coordinate the efforts of staff and board members in the recruitment, hiring, training, development, evaluation, and retention of key personnel.
- Provide support, training, and management of interns, facilitators, assistants, community health workers, and other key program personnel. Coordinate regular follow-up meetings.
- Coordinate the delivery of services with subcontractors, CHWs, and cooperating agencies.
Other
- Work with public relations and the Marketing Coordinator to effectively promote and communicate a strong brand identity for the programs and the organization.
- Perform other job-related duties as necessary and as assigned.
QUALIFICATIONS:
- BS/BA degree required, with preference in health care management or related field.
- Seven (7) or more years of leadership experience in program development & management, grant writing & management, and training, with a demonstrated track record of increasing responsibilities.
- Strong execution skills; ability to manage multiple projects and people with tight deadlines while also adapting to an ever-changing environment.
- Strong interpersonal communication and excellent written and oral communication skills.
- Experience supervising and mentoring staff, with a proven ability to establish trust, accountability, and collaboration within and across teams.
- Strong ethical core and alignment with NIHHC’s values and mission.
- Demonstrated cultural competency.
- High level of business acumen and understanding budgets and financial statements.
- Ability to work in and have appreciation for a bilingual, bicultural organization.
- Ability to think logically and problem-solve to analyze situations, troubleshoot, and make sound work decisions.
- Ability to work in a fast-paced and diverse environment.
- Excellent communication and presentation skills, including verbal and written communication.
- Availability to work seldom evenings and some weekends.
- Some teaching experience preferred.
- Bilingual in English/Spanish strongly preferred.
